Formify is used for e-signing of documents in the PDF format. A signed document can be opened in a standard PDF reader, in which the validity of the file can be easily checked. Adobe Acrobat, for instance, has a signature panel that can be used to view details.

We use the PDF format for our signed agreements. Information about e-signatures is embedded into a PDF document. PDF is a well-known and common file format, which can be opened in several different readers. The most common software is Adobe Acrobat.
This means that it is the PDF document that is the document of value - it is the one that contains information about the e-signatures. If someone has sent you a print, it is no more than a physical copy of a digitally signed agreement. Therefore, instead ask for a copy of the PDF file, if the document needs to be validated.
The technology we use is PAdES ("PDF Advanced Electronic Signatures").
Documents signed through Formify usually contain fields associated with each signature, where information about each person who signed it is displayed. We also support a simple electronic signature type, where a drawn signature is displayed, often together with a name clarification.What actually gives validity to the signatures, however, is in the file's metadata. By opening the document in Adobe Acrobat, the document can be validated automatically. The program shows if our signature is valid, otherwise the program warns that the document has changed after it was sealed. A green check mark means that the document has not been changed after it has been signed and sealed through Formify. This is the first condition for a document to be valid.

By opening the information for "Signatures" in Adobe Acrobat, details are displayed. It must state that the document is "signed by Formify AB". In the section for "Signature information", it is also possible to view certificate details, which certify that Formify's signature has been made with a certificate qualified in accordance with EU regulation 910/2014 (eIDAS).
The last important piece of information available is displayed in the same panel and section, found in "Location" and "Reason". There you can see which transaction ID applies to the signed document and details of each e-signature performed. Use that information to check which person who actually signed the document.
Please note! The content contained in a document is not within Formify's responsibility. Our task is to provide a secure e-signature solution, not to interpret the details of an agreement. Our customers can upload which documents they want and are responsible for ensuring that the content complies with applicable laws and regulations.
The eIDAS Regulation (EU Regulation 910/2014), which already applies within the EU, states that electronic signatures must not be denied legal effect or validity due to its electronic form.
This means that you can not force your users/customers to submit printed/scanned agreements signed by hand with pen and paper. Electronically signed agreements are in many ways much more secure than traditionally signed ones. We want to make it as easy as possible for you to feel confident in how e-signatures work.
Check that the email or phone text message origins from us, and that the sender who is stated in the message is someone you would expect to receive an agreement for signature from.
Verified companies
If the sender has used a company account, this can be seen in the email (a blue badge next to the company name). All company accounts are verified by us through a check of the organization number and approval made by an authorized signatory .

When the document is displayed, read it trough to understand what the agreement concerns. The document should include information about what you are signing.

Then please contact the sender - in our emails and text messages it is always stated who sent the document.
If you are ready to sign, click on the "Sign" button at the bottom of the page. Then follow the instructions that appear on your screen.
If your sender has chosen simple electronic signing, you are asked to draw your signature with your finger/mouse pointer, without identifying yourself first.
The most common signature method at Formify, within Sweden, is advanced electronic signing, where your identity needs to be confirmed to complete the signature. You simply sign by identifying yourself via Swedish BankID. Once you have identified yourself, your full name, social security number, your device's IP address, date and time of signing and a unique code linked to your identification event will be added to the document. The signature is then completed.

Do you not want to sign the agreement?
In that case, you do not need to do anything more, you can simply refrain from signing. You chan also let the sender know tat you do not intend to sign the contract.
Once you have signed, your signature will appear in the document. You will receive a notification from us, via email or phone text, when all parties have signed the agreement.
The message does not contain an attachment. Instead, we send a secure link you can use to reach the signed and completed document. Open the link and verify yourself (verification is done by sending a code to you either by email or phone text message, which you then enter according to the instructions shown on the screen). On the page that you then access, you have the possibility to download the completed document as a PDF file.

It is then likely that the agreement has not yet been signed by all parties. Feel free to contact the sender if you have any questions.
The PDF file you can download for a completed agreement is signed and sealed by Formify. Necessary information about the signatures is embedded in the file metadata.
Save the PDF file on your computer, in the cloud, or in any secure location that you have access to. The important thing is that you save the PDF file.
You can of course print the document with a regular printer, but we want to emphasize that it is not possible to validate such a copy of a document signed digitally. This applies regardless of whether you use Formify or any other e-signature service.
It's only possible to validate a digital signature through the digital version of the document.
