Secure e-signing in {{Europe}}: hosting, GDPR and AI
Formify stores your documents and customer data in the EU. Application servers and the database are hosted in Sweden. In the EU setup in your account settings, you can choose to run AI only with a European AI model (Mistral) through its EU endpoint. Signers can be invited by SMS instead of WhatsApp.

Your documents, your customers' data and the signing itself run on infrastructure in the EU.

Configure your account with the {{EU setup}}
Storage in the EU applies to every account. The EU setup is a set of options in your account settings, and you choose which ones to turn on. Until you turn them on, the standard setup applies. Formify's AI features are optional, and signing works without them.
If you want AI that runs in Europe, turn on that option in the EU setup. Formify then uses only a European AI model (Mistral) through its EU endpoint. The AI assistant that can be attached to documents sent for signing is not available in the EU setup yet. Support is planned for later in 2026.
You can also decide how signers are invited. An administrator can turn off WhatsApp and send invitations by SMS instead, along with regular email invitations as default.
Our AI providers are not allowed to use your data to train their general-purpose models.

GDPR, your data processing agreement and {{eIDAS}}
GDPR
Data processing agreement
Section 9 of our Terms & Conditions is the data processing agreement (DPA) with our customers. Formify is the data processor for the contract data you store with us.
EU setup
AI from a European company
In the EU setup, you can choose to run AI only with a European AI model (Mistral) through its EU endpoint.
eIDAS · AES
Advanced signatures under eIDAS
eIDAS is the EU regulation on electronic signatures. Identification with a passport scan and a video selfie gives an Advanced Electronic Signature (AES).
Trust list
A qualified trust service provider
Every Formify document is sealed with a qualified certificate from a trust service provider in Italy, listed on the European Union Trusted List (EUTL). Anyone can verify the sealed PDF, even without using Formify.
Whatever provider you choose, check the {{certificate}}
Our advice applies even if you never use Formify. Check that your e-signature provider uses certificates from a qualified trust service provider on the EU Trusted List. Each EU country publishes its list, and anyone can look a provider up.
This makes cross-border business simpler. A signature that can be validated against the EU Trusted List can be checked technically in another EU country, for example by a court or the other party's lawyer. Under eIDAS, a signature cannot be refused as evidence just because it is electronic. How much weight it carries is still decided under national law.
Every Formify document is sealed with a qualified certificate from Intesi Group in Italy, a trust service provider on the EU Trusted List. Anyone can verify the sealed PDF, even without using Formify.
Before you choose a provider, check:
- That its certificates come from a qualified trust service provider on the EU Trusted List.
- Which level the signature has: advanced (AES), advanced based on a qualified certificate, or qualified (QES). The level you need depends on the document and the country.
- That you can verify a signed document yourself, without an account with the provider.
